Stressed Event Planner Talking on the Phone

As an event agency, our team have planned hundreds of corporate events over the years, and they have seen it all – from last-minute venue cancellations to equipment malfunctions and everything in between. Event logistics can be a minefield if you’re not prepared, but with the right strategies in place, many of these logistical nightmares can be avoided.

In this post, we’ll share some of the most common logistical challenges we’ve seen over the years, and we’ll share our top tips to ensure your next corporate event runs smoothly from start to finish.

Venue Nightmares

One of the most crucial elements of any event is the venue – get this wrong and it can spell disaster for the entire occasion. We’ve had clients book venues that ended up being too small to accommodate their guest list, or venues with outdated facilities that couldn’t support the technology requirements.

You can book a stunning waterfront venue, only to discover a week before the event that the entire dock area was under construction and closed off. It always pays to be thorough during site visits, and to have the experience to know what questions to ask.

To avoid venue nightmares like these, we always recommend conducting thorough site visits and reviewing venue contracts with a fine-tooth comb. Pay close attention to capacity limits, load-in/load-out policies, and any planned construction or renovations that could impact your event. And don’t be afraid to ask lots of questions – a good venue partner will be upfront about any potential issues.

Technology Troubles

In today’s tech-driven world, the latest audiovisual capabilities are both more important and more complex. This reliance on technology also opens the door to a whole host of potential problems, from AV equipment malfunctions to WiFi connectivity issues.

A cutting-edge holographic display as the centerpiece of your keynote presentation will make an amazing and memorable experience for attendees. However, on the day of the event, the holographic system simply has to work, and the programing has to be correctly loaded in. Otherwise, that triumphant centerpiece will instead feature speakers scrambling to adjust their talking points and visuals at the last minute.

To mitigate technology troubles, we recommend having a detailed technical run-through several days before the event, and ensuring you have a backup plan in place – whether that’s a spare projector, extra microphones, or a reliable internet connection from a second provider. It’s also crucial to have a skilled AV technician on-site throughout the event to troubleshoot any issues that arise.

Catering Catastrophes

Food and beverage can make or break an event, which is why catering is one area where we simply can’t afford any slip-ups. We’ve had everything from guests with severe food allergies being served the wrong dish, to entire meals being delivered late or not at all.

Exciting options like hiring a renowned local chef to cater a high-profile awards ceremony can really raise your event to the next level. However, in the real world, the chef’s van can break down en route, leaving you with no food and a ballroom full of hungry guests. Needless to say, it pays to have a plan B that can get everyone fed swiftly in the event of a mishap.

To avoid catering catastrophes, we always recommend having a backup catering option lined up, just in case. It’s also crucial to have open lines of communication with your catering team, and to thoroughly brief them on any dietary requirements or food allergies among your guests. And of course, always have a Plan B for when things go wrong – whether that’s backup transportation, a quick-service pizza delivery or a selection of non-perishable snacks.

Staffing Shortages

Events simply can’t function without a skilled and reliable team of staff to keep everything running smoothly. But finding and retaining talented event staff can be a constant challenge, especially in today’s tight labor market.

Having a large number of onsite staff become ill all at the same time is every event planners worst nightmare. It can leave you scrambling to fill crucial roles like registration, ushering, and AV support.

To avoid staffing shortages, we recommend partnering with a reliable agency who has a deep bench of trusted event staff that you can call upon at a moment’s notice. It’s also important to have a solid onboarding and training process to ensure your team is prepared for any eventuality. And if you do find yourself short-staffed, don’t be afraid to get creative – recruit volunteers, utilize venue staff, or even call in favors from your own team.

Weather Woes

bad weather event logistics

No matter how meticulously you plan, there’s one element that will always be out of your control – the weather. From hurricanes and blizzards to simple summer thunderstorms, Mother Nature has a way of throwing a wrench in even the best-laid event plans.

There is nothing worse than watching a freak hailstorm roll in an hour before the event is set to begin! The last thing any event planner wants is to have guests were scrambling for cover.

To mitigate weather woes, we always recommend having a comprehensive wet weather plan in place, including backup indoor venues or tenting options. It’s also a good idea to keep a close eye on weather forecasts leading up to the event, and have a clear communication strategy for notifying guests of any changes.

At the end of the day, event planning is a high-stakes, high-stress game – but with the right strategies and a healthy dose of flexibility, many of these logistical nightmares can be avoided. By anticipating potential problems, having contingency plans in place, and maintaining open communication with all stakeholders, the team at Huddle has been able to deliver seamless corporate events time and time again.
