Event logistics can be a minefield if you’re not prepared, but with the right strategies in place, many of these logistical nightmares can be avoided.

Venue Nightmares

One of the most crucial elements of any event is the venue – get this wrong and it can spell disaster for the entire occasion. We’ve had clients book venues that ended up being too small to accommodate their guest list, or venues with outdated facilities that couldn’t support the technology requirements.

You can book a stunning waterfront venue, only to discover a week before the event that the entire dock area was under construction and closed off. It always pays to be thorough during site visits, and to have the experience to know what questions to ask.

To avoid venue nightmares like these, we always recommend conducting thorough site visits and reviewing venue contracts with a fine-tooth comb. Pay close attention to capacity limits, load-in/load-out policies, and any planned construction or renovations that could impact your event. And don’t be afraid to ask lots of questions – a good venue partner will be upfront about any potential issues.

Technology Troubles

In today’s tech-driven world, the latest audiovisual capabilities are both more important and more complex. This reliance on technology also opens the door to a whole host of potential problems, from AV equipment malfunctions to WiFi connectivity issues.

Food and beverage can make or break an event, which is why catering is one area where we simply can’t afford any slip-ups. We’ve had everything from guests with severe food allergies being served the wrong dish, to entire meals being delivered late or not at all.

Exciting options like hiring a renowned local chef to cater a high-profile awards ceremony can really raise your event to the next level. However, in the real world, the chef’s van can break down en route, leaving you with no food and a ballroom full of hungry guests. Needless to say, it pays to have a plan B that can get everyone fed swiftly in the event of a mishap.

To avoid catering catastrophes, we always recommend having a backup catering option lined up, just in case. It’s also crucial to have open lines of communication with your catering team, and to thoroughly brief them on any dietary requirements or food allergies among your guests. And of course, always have a Plan B for when things go wrong – whether that’s backup transportation, a quick-service pizza delivery or a selection of non-perishable snacks.

Staffing Shortages

Having a large number of onsite staff become ill all at the same time is every event planners worst nightmare. It can leave you scrambling to fill crucial roles like registration, ushering, and AV support.
